Business Operations \& Marketing Coordinator

Location: The Woodlands Texas

Reports To: President of intelliSPEC

Schedule: Monday – Friday, 8 am – 5 pm, in office (not remote); 40 hours weekly

About the Role

As Business Operations \& Marketing Coordinator, you will enable the President and executive leadership team by owning the logistics, coordination, and operational execution of key internal and external engagements, while also supporting advertising and marketing operations.

This role ensures that executive meetings, travel, client visits, events, exhibitions, and advertising activities are organized, professional, and executed flawlessly. This is not a traditional executive assistant role, but a business\-facing operations role spanning executive enablement and marketing execution.

The Team

You will work closely with the President and collaborate with leadership across Product, Engineering, Sales, and Marketing. This role acts as the operational backbone for executive activities, client engagements, events, and advertising coordination, ensuring consistency and high\-quality execution.

What We’re Looking For – Required

  • 2\+ years of experience in executive operations, business operations, marketing coordination, or event management roles
  • Proven experience organizing executive meetings, travel, and client engagements
  • Experience coordinating advertising or marketing activities such as digital ads, campaigns, sponsorships, or promotional materials
  • Strong vendor coordination experience including agencies, printers, media vendors, and event partners
  • Exceptional organizational skills with strong attention to detail
  • Ability to manage multiple priorities and changing schedules
  • Strong written and verbal communication skills
  • High level of professionalism and discretion when supporting executive leadership

What We’re Looking For – Preferred

  • Experience supporting B2B marketing or enterprise SaaS organizations
  • Experience coordinating conferences, exhibitions, or trade shows
  • Familiarity with digital advertising platforms, sponsorships, or content distribution
  • Experience managing small marketing or event budgets
  • Experience working in fast\-paced, high\-growth environments

Key Responsibilities

  • Coordinate executive meetings, offsites, and leadership sessions including agendas, logistics, and follow\-ups
  • Plan and manage executive travel including flights, accommodations, and itineraries
  • Organize client visits, partner meetings, and hosted engagements
  • Support conferences, exhibitions, and trade shows including booth logistics, materials, and on\-site coordination
  • Coordinate advertising and marketing execution including campaign logistics, timelines, and vendor management
  • Manage ordering and distribution of marketing collateral, signage, swag, and promotional materials
  • Coordinate hospitality, catering, and event logistics for internal and external events
  • Track logistics, marketing, and advertising action items to ensure timely execution
  • Maintain operational playbooks for executive operations, events, and marketing coordination
