Position Summary
The Marketing Operations Analyst is responsible for structuring, coordinating, tracking, and analyzing
Portobello America’s marketing activations and programs. This role serves as a central operational point
for marketing initiatives—ensuring that timelines, vendors, budgets, deliverables, and performance
metrics are clearly planned, monitored, and reported.
The position supports Factory Tours, Trade Shows, Launches & Previews, Sales Trainings, Leadership
Workshops, and Design in Motion regional presentations, combining project management, cross-
functional coordination, and activation performance analysis to ensure effective and well-executed
marketing initiatives.
Essential Duties and Responsibilities
Marketing Activation Planning & Coordination
- Structure marketing activations as end-to-end projects, consolidating timelines, responsibilities,
and deliverables into clear project plans and PowerPoint presentations.
- Coordinate with internal stakeholders and partners responsible for logistics, services, travel,
venues, access, and documentation, ensuring alignment and timely execution.
- Track progress across activation workstreams, conducting regular follow-ups to ensure
commitments, timelines, and standards are met.
- Coordinate with vendors and service providers to confirm scope, timelines, and delivery of
services.
- Support activation execution as needed, including on-site coordination and hands-on support
when required.
Data Analysis & Performance Measurement (Activation Track)
- Collect, organize, and analyze performance metrics for marketing activations, including
attendance, engagement, regional coverage, and cost efficiency.
- Support campaign and activation ROI analysis, benchmarking performance against historical
data and defined KPIs.
- Develop and maintain activation dashboards and scorecards, providing visibility into
performance, spend, and operational effectiveness.
- Identify trends and insights to support future activation planning and prioritization.
Budget, Tools & Asset Management
- Track marketing budgets and expenses, maintaining accurate and up-to-date information.
- Track purchase orders and spend commitments, ensuring visibility and alignment with approved
budgets.
- Maintain and organize corporate and event image libraries.
- Manage and update activation calendars, dashboards, and workflow tracking tools.
Reporting & Collaboration
- Prepare weekly and monthly reports on activation status, budgets, risks, and performance.
- Compile post-activation reports including KPIs, benchmarks, insights, and recommendations.
- Work closely with the Brand Manager to align priorities, timelines, and execution readiness.
- Partner with Sales, Product, and Operations teams to support integrated planning, execution,
and performance analysis.
Qualifications
- Bachelor’s degree in Marketing, Business, Communications, Analytics, or a related field.
- 2–4 years of experience in marketing operations, program coordination, project management, or
performance analysis.
- Strong proficiency in PowerPoint and Excel, with the ability to structure complex initiatives
clearly and visually.
- Experience with dashboards, trackers, Hubspot, Qlick, Sales Force is a plus.
- Strong organizational, follow-up, and analytical skills.
Physical & Travel Requirements
- Ability to travel as needed to support marketing activations.
- Ability to work flexible hours during activation periods.
