The mission of the role is Business Operations \& Marketing Assistant plays a central role in keeping the organization running smoothly by managing administrative workflows and supporting marketing operations. This role ensures that daily business activities, office functions, and marketing processes are efficient, organized, and aligned with company goals. The ideal candidate is highly detail‑oriented, proactive, and skilled at coordinating projects and resources across teams, and has some marketing experience.
What you’ll do
Administrative Operations
- Oversee daily administrative functions, including scheduling, document management, vendor coordination, building access, and office support.
- Develop and maintain organizational systems to streamline communication, filing, and workflow processes.
- Support HR in onboarding new employees
- Prepare reports, presentations, and internal documentation for leadership.
Marketing Administrative Support
- Coordinate marketing project timelines, approvals, and cross‑departmental communication.
- Manage event logistics for sales and marketing: tradeshows, customer meetings, corporate meetings, etc.
- Assist with managing marketing calendars, campaign schedules, and content workflows.
- Support budget tracking for marketing projects, vendor invoices, purchase orders, and contract renewals.
- Facilitate coordination between marketing and vendors (agencies, printers, creative partners).
- Maintain and update marketing assets, digital files, brand materials, and content libraries.
Project \& Office Management
- Oversee office operations, including supply management, equipment coordination, and facilities support.
- Identify bottlenecks in business operations and recommend and implement improvements.
- Lead administrative and projects from planning to execution.
- Organize company meetings, events, and planning sessions (virtual and in\-person).
Communication \& Coordination
- Act as the central point of contact for leadership support.
- Ensure timely communication of updates, deadlines, and project requirements.
- Support cross\-functional collaboration to ensure operational consistency across the organization.
What you’ll bring
Required
- 3–5 years of experience in administrative operations, office management, marketing administration, or similar role.
- Excellent organizational, planning, and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency with office and marketing tools (Microsoft 365, Teams, SharePoint, CRM systems, project management platforms).
- Ability to balance multiple priorities with attention to detail.
Preferred
- Experience supporting marketing teams.
- Familiarity with project management tools (Asana, Monday.com, Trello, etc.).
- Experience improving administrative processes or implementing new workflow systems.
