Sales Operations Specialist
Quantum\-Systems Inc is a global leader in aerial intelligence and autonomous, AI\-powered aerial robotics. We design, develop, manufacture and deliver AI enabled eVTOL Unmanned Aircraft Systems (UAS) and an ecosystem of related products and services. Our business directly addresses the Defense and Security markets in North America and South America. We currently have an opening for a well\-qualified, detail\-oriented Sales Operations Specialist to join our team. This position reports to the Sales Operations Manager.
DESCRIPTION
A Sales Operations Specialist at Quantum\-Systems, Inc bridges the gap between business development and business operations. This role supports the Business Development team by managing CRM data integrity, pricing accuracy, quoting processes, and cross\-functional coordination between Business Development, Sales, Engineering, Configuration Management, Supply Chain, and Marketing. This role is critical to ensure accurate deal tracking, product data consistency, and smooth sales execution. It requires strong organizational and multitasking skills, attention to detail, and effective communication abilities to manage customer inquiries and sales/product data.
ROLES AND RESPONSIBILITIES
The Sales Operations Specialist is responsible for providing sales support to customers, managing customer quotes and consultations, supporting the sales and forecasting process, and ensuring smooth operations within the Quantum\-Systems Business Development team.
- CRM \& Deal Management
- Create, maintain, and update sales deals within the CRM platform (HubSpot).
- Maintain a comprehensive and accurate list of active opportunities and ensure timely synchronization of opportunity data into NetSuite
- Review sellable products and part numbers in NetSuite to ensure alignment with HubSpot’s item master, identifying and resolving gaps in available part numbers.
- Support smart part number creation and maintenance
- Quotation Generation
- Collaborate with the Business Development team to gather complete and accurate information for quotations
- Generate and support accurate customer quotations based on product, pricing, and delivery data.
- Product Pricing \& Data Accuracy
- Serve as a liaison between Business Development, Engineering, and Supply Chain to ensure accurate pricing and cost data.
- Work with Engineering to obtain accurate Bills of Materials (BOMs) and GTINs for all sellable products.
- Coordinate with Supply Chain to obtain validate cost inputs.
- Sales \& Marketing Documentation
- Partner with the Marketing team to organize and maintain accurate sales documentation.
- Ensure sales collateral includes correct and up\-to\-date part numbers, product descriptions, and supporting details.
- Cross\-Functional Support
- Proactively identify data inconsistencies, process gaps, and improvement opportunities within sales operations workflows.
- Support continuous improvement of CRM, ERP, and quoting processes to improve sales efficiency and data reliability.
QUALIFICATIONS
- Bachelor’s degree (or equivalent experience) is preferred
- 1\-2 years of experience in sales operations, business operations, or related role (preferably in technology, aerospace, defense, or UAS operations)
- Knowledge of UAS platforms is preferred
- Experience in sales administration, data analysis and reporting
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Experience with CRM/ERP software (NetSuite \& HubSpot) is preferred
- Must be a US Citizen
- Background check required
