About This Role
POSITION OVERVIEW
The Sales Operations Specialist is responsible for building and managing the operational backbone of the Make My Clone sales engine. This role oversees lead tracking, CRM accuracy, pipeline visibility, compliance oversight, reporting clarity, sales team accountability, and a seamless sales\-to\-fulfillment transition for all Make My Clone clients.
This is a highly execution\-focused role for someone who thrives in fast\-paced, high\-growth environments and loves building structured systems that drive revenue.
The ideal candidate is process\-driven, detail\-oriented, analytical, and obsessed with clean data and performance optimization.
PRIMARY RESPONSIBILITIES
Sales to Fulfillment Transition
- Ensure seamless transition from closed sale to fulfillment for all Make My Clone clients.
- Audit sales to ensure deliverables are clearly defined and properly recorded in the CRM.
- Validate that contract terms accurately reflect the purchased Make My Clone tier
- Conduct client onboarding calls to schedule and document studio filming dates
- Verify receipt of all required client assets, approvals, and onboarding documentation prior to fulfillment kickoff
- Track fulfillment milestones to ensure all contractual obligations are completed on time
- Coordinate with fulfillment and production teams to prevent delays, miscommunication, or scope discrepancies
- Maintain clear internal status reporting on each Make My Clone client from sale through final delivery
Sales Operations \& CRM Management
- Manage inbound lead routing from challenges, ads, affiliates, and partnerships
- Ensure proper lead assignment to internal reps and external agencies
- Monitor speed\-to\-lead metrics and optimize response times
- Own CRM hygiene and data accuracy
- Build and maintain pipeline stages and deal tracking systems
- Audit sales data weekly to ensure reporting accuracy
- Maintain accurate real\-time dashboards
- Implement automation workflows to improve sales efficiency
Sales Team Enablement \& Accountability
- Track rep performance metrics (calls, appointments, closes, revenue)
- Prepare daily and weekly scorecards for leadership
- Identify bottlenecks and performance gaps
- Support onboarding and CRM training for new sales reps
- Ensure all sales scripts and playbooks are updated in the system
Compliance \& Quality Assurance
- Monitor recorded sales calls for FTC compliance
- Flag unauthorized claims or messaging deviations
- Ensure disclaimers and required language are used properly
- Assist in implementing compliance tracking systems
- Maintain documentation for internal audit
Virtual Events \& Challenge Support
- Coordinate lead flow during live challenges and virtual events
- Track event\-to\-call booking conversion rates
- Monitor appointment show rates and follow\-up sequences
- Provide real\-time reporting during launches
- Assist sales leadership in optimizing event monetization
SUCCESS METRICS \& PERFORMANCE TARGETS
Primary KPIs
- 100% of closed Make My Clone clients transitioned to fulfillment
- 100% contract\-to\-tier validation accuracy prior to fulfillment kickoff
- 95%\+ studio filming date booking rate within 72 hours of sale
- 95%\+ CRM data accuracy
- Zero lead leakage across CRM system
- Sales pipeline reporting delivered on time (weekly/monthly)
- Review and monitor Contract compliance and accuracy tied to customer order details and deliverables
Revenue Support Targets
- Support $10M\+ in closed sales revenue (2026 target)
- Reduce sales cycle length by 15%
- Improve appointment show rate by 10%
- Increase close rate through funnel optimization
REQUIRED QUALIFICATIONS
Experience
- 3–7 years in Sales Operations, Revenue Operations, or CRM management
- Experience supporting high\-ticket sales teams ($5K–$25K\+ offers)
- Experience managing high\-ticket post\-sale transitions, including contract validation, fulfillment coordination, and milestone tracking from close to delivery.
- Strong CRM expertise (HubSpot, GoHighLevel, Salesforce, or similar)
- Experience building dashboards and performance reports
- Startup or high\-growth environment experience preferred

COMPENSATION PACKAGE
Base Salary
- $75,000
Variable Compensation
- 0\.1% override commission on total monthly sales team revenue (less chargebacks \& refunds), capped at $10,000 per year.
- Payment of the override is contingent upon meeting defined compliance performance metrics.

- Audit existing CRM, lead routing, and post\-sale workflows
- Identify inefficiencies, leakage points, and fulfillment gaps
- Map full Make My Clone lifecycle from lead → close → studio filming → delivery
- Build initial dashboard for tracking closed\-sale\-to\-fulfillment progression
- Learn Make My Clone tier structure, contract components, and fulfillment milestones
60 Days
- Implement structured post\-sale workflow for studio booking, contract validation, and milestone tracking
- Establish automated alerts for un\-booked studio dates or stalled fulfillment stages
- Launch weekly sales\-to\-fulfillment reporting cadence for leadership
- Create contract\-to\-tier validation checklist within CRM
- Reduce average time from sale to studio booking
90 Days
- Fully operational closed\-sale\-to\-delivery tracking dashboard with real\-time visibility
- 95%\+ of clients booked for studio filming within 72 hours of sale
- Implement fulfillment milestone tracking to ensure all deliverables are completed on time
- Establish escalation process for at\-risk clients or delayed production timelines
- Improve on\-time delivery rate for Make My Clone clients through workflow optimization
