You will find we offer more than the basics to create an inclusive and dynamic work environment at our various locations.Purpose: The Marketing Operations Coordinator serves as a strategic administrative and operational partner to the SVP of Marketing, providing executive support while advancing marketing and distribution initiatives that drive business growth. This hybrid professional role contributes to important projects of diverse scope within Marketing and Distribution, combining executive support, event execution, marketing coordination, financial processing, and cross\-functional project management to ensure seamless execution of marketing priorities. The role requires sound judgment, organizational excellence, collaboration across stakeholders, and the ability to manage multiple initiatives while maintaining executive\-level professionalism.Accountabilities:Executive Partnership and Department Management* Manage the SVP’s complex calendar, recurring meetings, and scheduling across internal and external stakeholders.

  • Coordinate travel arrangements, conference registrations, and related logistics.
  • Prepare and submit expense reports; manage expense approvals.
  • Develop agendas, meeting materials, and executive briefing documents.
  • Exercise discretion and judgment when handling confidential and sensitive information.
  • Anticipate scheduling and priority conflicts and proactively resolve them.
  • Maintain marketing supply inventory and coordinate ordering.
  • Manage departmental mail distribution.
  • Maintain distribution lists and organizational charts.
  • Identify and recommend operational improvements to enhance efficiency.

Marketing Leadership Meetings \& Off\-Site Events* Lead planning and execution of Marketing leadership meetings, departmental off\-sites, and internal events.

  • Manage logistics including venues, vendors, catering, A/V, materials, travel, and payments.
  • Serve as the primary point of contact for event coordination.
  • Prepare agendas, coordinate speakers, document meeting minutes, and track follow\-ups to completion.
  • Ensure alignment with branding, compliance, and corporate standards.

Distribution \& Field Marketing Support* Provide marketing and project management support for conferences, field events, webinars, and producer\-facing initiatives.

  • Partner with Sales and Marketing stakeholders to align event execution with distribution strategy.
  • Manage timelines, creative workflows, and cross\-functional coordination.
  • Provide critical back up support for priority department processes, including project management of initiatives.
  • Help manage inventory and ordering for Athene Company Store, including resolving fulfillment issues.
  • Monitor progress and communicate updates to stakeholders.
  • Ensure adherence to regulatory, legal, compliance, and brand requirements.

Financial \& Operational Oversight* Process and code Marketing invoices, allocating expenses across budgets and vendors.

  • Manage reimbursements and check requests.
  • Perform detailed manual coding of monthly Veritas invoices by Sales RVP.
  • Track departmental spend and support budget oversight.
  • Coordinate with Finance on expense reporting and approvals.

Qualifications and Experience:* Bachelor’s degree or equivalent experience.

  • 3 years of professional experience in executive support, marketing coordination, event planning, or project management.
  • Strong project management and organizational skills.
  • Ability to manage multiple priorities with attention to detail.
  • Excellent interpersonal and communication skills.
  • Experience in financial services preferred.
