As the authorized Spacesaver® Area Contractor, we design, manufacture, install, and service custom mobile shelving, compact storage systems, library and museum solutions, healthcare and public safety storage, and document management systems.

We are looking for a detail\-oriented, proactive Sales Operations Coordinator to be the operational backbone of our sales team. You will drive efficiency in the sales pipeline, deliver professional proposals and quotes, ensure smooth project coordination, and support accurate forecasting — all while working in a stable, family\-oriented company culture that values quality, teamwork, and work\-life balance.

Key Responsibilities

  • Provide high\-level operational support to the Sales Manager and Sales Representatives, including calendar management, scheduling client meetings and site visits, and travel coordination.
  • Own and maintain the sales pipeline and CRM database for accurate lead tracking, opportunity updates, and customer records.
  • Prepare, format, and customize high\-quality sales proposals, quotes, contracts, presentations, and bid documents using Microsoft Office Suite and quoting tools.
  • Manage inbound sales inquiries via phone, email, and web forms; qualify leads and route them efficiently to the appropriate sales representative.
  • Process sales orders, purchase orders, and change orders while coordinating closely with design, engineering, manufacturing, installation, and accounting teams to ensure seamless execution and compliance with Spacesaver quality and inter\-territorial guidelines.
  • Generate timely sales reports, monthly order forecasts, performance dashboards, and monthly/quarterly summaries to support business planning and performance standards.
  • Support customer relationship management through quote follow\-ups, issue resolution, and exceptional service.
  • Organize sales collateral, marketing materials, and maintain accurate digital and physical records.
  • Assist in planning and executing trade shows, client events, and promotional activities.
  • Perform general office duties with a focus on efficiency, accuracy, and continuous improvement.

Qualifications \& Requirements

  • 2\+ years of experience in sales operations, sales support, or administrative roles (B2B, technical, or project\-based sales environment strongly preferred).
  • Advanced proficiency in Microsoft Office Suite (especially Word, Excel, PowerPoint, and Outlook) and solid experience with CRM systems (Salesforce, HubSpot, or similar). Familiarity with quoting/proposal tools is a plus.
  • Excellent written and verbal communication skills with a professional phone presence.
  • Exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities and deadlines in a fast\-paced environment.
  • Customer\-focused mindset with a proactive, problem\-solving approach; ability to work independently as well as collaboratively within a team.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Sales, Marketing, or a related field.
  • Knowledge of construction, architecture, engineering, or storage/shelving systems.
  • Experience supporting sales performance standards, forecasting, or cross\-functional coordination.

  • Competitive base salary of $58,000 – $72,000 plus performance incentives.
