The Business Operations Associate is a high\-potential role designed to support and scale the operational backbone of the organization across Human Resources, Accounting, Legal, and Facilities. Reporting to the VP of Worldwide Operations, this role is responsible for driving execution, enforcing operational discipline, and ensuring alignment across a multi\-system, multi\-geography operating environment. The role serves as a front\-facing operational liaison for contract management, coordinating with customers and internal stakeholders to manage legal and contractual processes. This is a business operations leadership track role, with a clear path toward Business Operations Manager and beyond for individuals who demonstrate ownership, execution excellence, and strategic capability.

Knowledge and Skills

  • Partner with the VP of Worldwide Operations to execute operational strategy across HR, Accounting, Legal, and Facilities.
  • Own and manage the Paychex platform for U.S. operations, including HR, payroll, and compliance\-related workflows.
  • Ensure accurate and timely data synchronization and reconciliation between:
  • Offshore ERP (BMS)
  • Global accounting system (Sage)
  • U.S. system (Paychex)
  • Coordinate with accounting teams to ensure financial data is properly reflected in Paychex for U.S. operations.
  • Act as the primary point of contact for contract management with customers, coordinating across Legal, Sales, and Delivery teams.
  • Track and manage the lifecycle of contracts, including intake, review, execution, and compliance tracking.
  • Drive cross\-functional alignment across U.S. and offshore operational teams.
  • Establish and maintain operational cadence (KPIs, reporting, reviews).
  • Identify inefficiencies across systems and processes and lead optimization initiatives.
  • Ensure adherence to internal governance, compliance, and audit requirements.
  • Act as an in\-office operational leader ensuring visibility, responsiveness, and coordination.

Job Description

  • Own day\-to\-day administration and optimization of Paychex (HR, payroll, benefits, compliance workflows).

Coordinate with offshore teams to ensure accurate data flow from BMS Sage* Paychex where applicable.

  • Perform periodic reconciliation checks across systems to ensure data consistency and integrity.
  • Track and manage contract workflows, including:
  • Intake and documentation
  • Coordination with internal legal and stakeholders
  • Customer communication and follow\-ups
  • Status tracking and execution timelines
  • Maintain dashboards for operational KPIs across HR, finance, and legal workflows.
  • Analyze financial and operational data to support decision\-making.
  • Drive follow\-ups and accountability across departments and geographies.
  • Identify system gaps and recommend improvements to streamline operations.
  • Support audits and compliance checks related to payroll, contracts, and financial data.
  • Contribute to executive\-level operational reporting and insights.

Education

Associate

Qualification

Required

  • Bachelor’s degree in Business, Operations, Finance, or related field.
  • 2–5 years of experience in business operations, accounting operations, HR systems, or similar roles.
  • Experience working with business systems (HRIS, ERP, or accounting platforms).
  • Strong analytical and problem\-solving skills with attention to data accuracy.
  • Excellent organizational and execution discipline.
  • Strong communication skills, including ability to interface with customers on operational/legal matters.
  • Ability to work onsite during business hours.

Preferred

  • Experience with Paychex, Sage, or ERP systems (e.g., BMS, NetSuite, SAP).
  • Exposure to contract management or legal coordination processes.
  • Experience working across global or distributed teams.
  • Background in finance operations, compliance, or process optimization.
  • Demonstrated ownership of systems or cross\-functional processes.
