Job Summary
Reporting to the AVP Creative Services, the Marketing Operations Specialist serves as a central administrative hub supporting both physical packaging production and digital content execution. This position ensures that all marketing deliverables – packaging, trims, photography and e\-commerce assets – are accurate, organized and delivered on time.
Success in this role requires exceptional attention to detail, strong system fluency (PLM and project\-management tools) and the ability to manage multiple moving parts across a small US based team and a larger international and partner network. The role works cross\-functionally to keep projects moving smoothly from intake to final delivery.
Essential Duties and Responsibilities: Reporting relationships, work assignments, and work schedules may be subject to change in order to meet company needs and business requirements. Duties include:
- Project Intake \& Workflow Admin:
Intake and verify creative requests via BeProduct (PLM) and track execution in Monday.com
Ensure all required information is provided before work begins; proactively request missing details
Daily tracking of updates, timelines, due dates, milestones, launch dates, photography calendar etc.
- Coordination \& Communication:
Monitor ongoing updates/tasks in BP / email and document in Monday.com
Support weekly team meetings using the project tracker and by noting updates
- Quality Control \& File Management:
Review accuracy and alignment with original request (\& retail/brand/certification guides) and upload production\-ready artwork to BP (detailed proofing required)
Prepare photography and digital asset files for retailer submission
Conduct post\-launch audits of ecom listings to confirm accuracy of submitted assets vs live listing
- Samples, Shipping \& Physical Assets:
Coordinate shipping and receiving with Mail Room Manager
Track in/outbound shipments (trims, proofs, top\-of\-production samples, photo samples)
Organize, label and maintain physical samples and standards
Compile review feedback with P/D teams into powerpoints to distribute to relevant teams
- ProductionSpecific Support:
Partner closely to identify and resolve issues prior to sampling/production
Review and document TOPS– flag for quality, color, size or concerns early
Translation requests to 3rd party vendor
Approval requests to 3rd party certification / partners
Support light creative needs like edits or updates
- DigitalSpecific Support:
Organizing program information from DARF (Digital Asset Request Form) and BP into Photo Briefs, Copy Documents, Estimates. Pull CADs for Mapping needs.
Maintain organized Dropbox structure, filing system and naming conventions
Support light creative needs like cropping or graphic file edits.
- Process Improvement:
Identify opportunities to streamline workflow, introduce automation, improve efficiency, simplify cross\-functional communication and reduce errors.

Education and/or Experience
- BA degree or 13 years related experience
- Knowledge of Home Textiles and production lifecycle a plus
Language Skills
- Clear Communication (verbal and written)
Mathematical Skills
- Simple calculations and dimension translations may be needed
Reasoning Ability
- Problem solving
- Time and action management of production for marketing (from initial request to launch)
Computer Skills
- Adobe Suite beyondbasic knowledge of Illustrator / Photoshop
- Microsoft Suite (Word, Excel, Power Point)
