About This Role
The Assistant Director for Marketing Operations will manage the technology, processes, and data that support the Center for Career Development’s (CCD) marketing strategy focused on engagement of students, campus partners, employers and other key constituents (i.e., parents and families, alumni, etc.). The Assistant Director will serve as a bridge between the CCD’s creative marketing strategy and technical execution by managing day\-to\-day workflows, overseeing marketing operations infrastructure, ensuring adherence to established procedures, identifying opportunities for improvement and efficiency, and empowering staff through comprehensive training and documentation. This role functions as both the operational hub for CCD's marketing delivery and a key source of insight about systems performance, emerging needs, and possibilities for enhancement. The Assistant Director reports to the Director of Operations and works closely with the Associate Director of Marketing and Communications, along with all CCD staff to support the office’s overall marketing strategy.
Essential Functions
Oversee the intake, triage, and coordination of marketing requests and initiatives. Establish decision criteria, assign ownership, track workflow progress, and ensure requests move through the pipeline with clarity and accountability. Direct the consistent use of CCD's event planning and marketing Airtable tools across programming and event leads, operations staff, and marketing team members. Conduct regular audits to monitor data quality and adherence to established standards; identify gaps and recommend corrective actions.
Develop and maintain comprehensive documentation, training materials, and standard operating procedures for marketing and event planning workflows. Ensure materials are current, clear, and accessible to audiences with varying levels of technical comfort, including both professional and student employees. Facilitate onboarding and ongoing support for staff and student employees, providing patient, empathetic guidance to ensure mastery of tools, systems, and procedures. Recognize varying comfort levels with technology and adapt communication and support approaches accordingly.
Execute operational and publication workflows for CCD marketing and events, including creating and managing Handshake event records, overseeing digital signage in the Yawkey Center, and managing distribution and dissemination of marketing materials cross appropriate channels (broadcast emails, student portal highlights, campus partner newsletters, and other internal communications systems).
Monitor CCD's marketing operations systems to identify automation opportunities, recognize unmet needs and workflow gaps, and recommend potential improvements. Test and evaluate recommended refinements to inform decision\-making. Track and report on marketing operations metrics and system usage to inform decision\-making and identify emerging needs or patterns requiring attention from leadership.
Serve as a strategic partner to the Associate Director of Marketing and Communications, providing operational support for documentation, training development, process design, and workflow implementation. Participate in strategic planning conversations with CCD leadership regarding the evolution of marketing operations, contributing an operational perspective to resource planning, capacity decisions, and systems development.
Participate in professional associations, remain current on best practices and trends in operations and information management, and contribute to the profession through presenting, publishing, or serving on committees.
Required Skills
- Bachelor's degree in business, information systems, project management, or related field, or equivalent level of training and experience; master's degree preferred.
- Three to five years of experience in operations, project management, systems administration, or related environment.
- Demonstrated expertise with relational databases or workflow automation tools (Airtable, Jira, Asana, Notion, or similar); prior Airtable experience and JavaScript knowledge are particularly valuable.
- Excellent written and verbal communication skills, with the ability to translate complex workflows into clear, accessible training materials and explanations for diverse audiences.
- Strong project management and organizational skills, with demonstrated ability to prioritize competing demands, hold teams accountable to timelines and standards, and identify problems before they escalate.
- Patient, empathetic, and committed to supporting people through change; adept at recognizing and adapting to varying comfort levels with technology.
- Proactive, detail\-oriented, and self\-directed; comfortable navigating ambiguity and proposing solutions to systems and process challenges.
- Ability to mentor and support both student and professional staff in developing project management competencies and technical skills.
- Ability to work collaboratively across multiple teams, building productive relationships with programming and event leads, operations staff, marketing professionals, student employees, and campus partners.
