About This Role

The Role

Brooklyn Music Factory is seeking an organized, systems\-minded Marketing \& Sales Operations Manager to operate the infrastructure behind our marketing, enrollment and program operations.

This person will ensure that campaigns launch, leads move through the pipeline, registration systems remain accurate and teachers’ time\-off requests are handled without disrupting the student experience.

We are seeking a detail\-oriented and strategic Marketing \& Sales Operations Manager to lead and optimize our sales and marketing processes. This role involves managing CRM systems, sales management tools, and analytics platforms to drive data\-driven decision\-making. The ideal candidate will be responsible for streamlining operations, enhancing sales performance, and supporting marketing initiatives through effective use of technology and analytics. This is a paid position that offers the opportunity to work with innovative tools and contribute to the growth of our songwriting school in Brooklyn NY.

This is primarily a behind\-the\-scenes operations role—not the primary family sales or enrollment position.

Core Responsibilities

  • Maintain BMF’s rolling 90\-day marketing calendar and execute email and text campaigns.
  • Coordinate campaign copy, creative assets, website updates, landing pages, forms, lists and links.
  • Maintain Keap pipelines, tags, audiences, automations and follow\-up sequences.
  • Ensure leads are routed to the Enrollment Sales Advisor and that follow\-up activity is visible and measurable.

  • Tours, trials and events
  • Manage the operational side of camps, including Airtable views, communications, rosters, add\-ons, health forms and daily registration audits.
  • Manage teacher time\-off requests, identify and confirm substitutes, notify families and update teacher and student schedules in BMF Connect.
  • Coordinate related schedule changes across Airtable, Sawyer, Slack and other systems.
  • Create and improve SOPs, delegate repeatable work to One Solutions or support staff and review completed work.
  • Maintain enrollment and marketing reporting, including lead volume, response time, conversions, registrations, capacity and waitlists.
  • Coordinate with BMF leadership, program directors, the Enrollment Sales Advisor and outside marketing or automation partners.

Requirements

  • Proven experience managing CRM systems with proficiency in KEAP (by Thryve) or similar platforms.
  • Strong knowledge of sales management systems and experience in utilizing them for pipeline tracking, forecasting, and reporting.
  • Expertise in sales analytics \& reporting tools to interpret data effectively.
  • Familiarity with automation tools such as Zapier for workflow integration.
  • Experience working with various digital tools including Airtable, Google platforms, our proprietary learning management systems (BigMusicGames.Connect.com), Sawyer, ChatGPT or similar software is preferred.
  • Excellent analytical skills with the ability to translate data into actionable insights.
  • Strong organizational skills with attention to detail in managing multiple systems simultaneously.
  • Effective communication skills for collaboration across teams and presenting reports clearly.
  • Ability to adapt quickly to new technologies and continuously improve operational processes.
  • The Right Candidate

You are highly organized, detail\-oriented and comfortable operating several interconnected systems. You enjoy improving workflows, catching errors before they affect families and turning leadership priorities into completed campaigns and reliable processes.

Experience with CRMs, enrollment platforms, project management, marketing operations or school/program administration is strongly preferred. Familiarity with Keap, Sawyer, Airtable, Google Workspace, Slack, Canva or WordPress is helpful but not required.

Pay: $28\.00 \- $36\.00 per hour

Expected hours: 20\.0 – 30\.0 per week
