Specialty Food Solutions is a growing food manufacturer and supplier specializing in premium protein products sold through foodservice distributors primarily in the Southeast. We work with distributors, restaurants, hospitality groups, and foodservice operators throughout the region.

Position Overview
We are looking for a highly organized, detail\-oriented Sales Operations Coordinator to support our sales team and help keep the business running smoothly.
This position serves as a central hub between customers, sales, and operations. You will often be the first point of contact for incoming orders, customer requests, pricing inquiries, and sales support activities. Your role will be critical in ensuring information is accurate, organized, and moving efficiently throughout the company.
The ideal candidate is proactive, comfortable on the phone, enjoys solving problems, and takes pride in staying organized.
Key Responsibilities
Customer Orders \& Account Support
- Receive and process customer orders submitted by phone, email, and distributor channels
- Generate and distribute customer estimates and pricing quotations
- Verify order details, product availability, and customer requirements
- Enter customer orders accurately and efficiently into company systems
- Serve as a primary point of contact for routine customer inquiries
- Communicate order status updates and assist with customer requests
- Coordinate with operations and production teams to ensure customer needs are communicated clearly
- Maintain accurate order documentation and customer records
Sales Operations Support
- Maintain and update customer, distributor, and prospect records within company CRM systems
- Track sales activities, customer interactions, and follow\-up actions
- Assist with sales reporting and KPI tracking
- Coordinate sample requests and customer follow\-up
- Build and maintain prospecting lists
- Assist with trade show planning, events, and sales meetings
- Coordinate communication between sales, operations, and customers
- Communicate sales activity information to the marketing department
Administrative Support
- Assist leadership with reporting, research, and special projects
- Order office supplies and coordinate miscellaneous office needs
- Support various operational initiatives as the company grows
Preferred Qualifications
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Strong attention to detail
- Comfortable learning and working within multiple software systems
- Proficiency in Microsoft Office, particularly Excel and Outlook
- Ability to manage multiple priorities simultaneously
- Positive attitude and willingness to learn
- Self\-motivated and dependable
- CRM experience
- Customer service, inside sales, or order processing experience
- Experience with Microsoft 365
