About This Role
The Revenue Operations Administrator (ROA) works with our external bookkeepers to manage a variety of revenue\-oriented tasks, including invoicing clients, issuing credit statements, managing client payment methods, oversight of accounts receivable collections, and tracking revenue and AR for accounting and reporting purposes. Strong organizational skills, bookkeeping skills, attention to detail, and experience with financial accounting are required. This role works closely with accounting/bookkeeping, the RevOps team, and the sales and account management teams, and reports to the President/CEO.
In addition, the Revenue Operations Administrator supervises a part\-time Revenue Operations Coordinator who is responsible for identifying and applying payments from the Bank of America account, managing the majority of collections outreach via email, and handling all aspects of Tungsten purchase order receipts and invoicing within the Tungsten portal. This support covers a substantial portion of client invoices that are processed and paid through Tungsten.
Duties and Responsibilities
- Administer a QBO integrated HubSpot CRM based revenue invoicing system and generate sales invoices for clients based on approved estimates on a timely basis utilizing CRM software (HubSpot/Zoho).
- Provide guidance and workload coordination for a part\-time employee and seasonal intern, supporting training, clear communication, and team accountability.
- Help establish and enforce payment terms related to sales invoices.
- Track third\-party payments, sales credits, overages, prepayments, and write\-offs for invoicing and bookkeeping purposes.
- Work with sales and account managers to ensure timely collection of accounts receivable. Prepare and send manual and automated collection statements to clients as needed to collect overdue payments.
- Assist clients with payment information, methods, and inquiries, including completion of vendor forms.
- Manage and administer online third\-party payment portals used to deliver client invoice payments (e.g., ARIBA, COUPA, TUNGSTEN, Mercer).
- Make remote check deposits on a timely basis.
- Maintain and update the internal Google Docs Revenue and AR Tracker on a timely basis as a cross\-check for CRM and accounting reconciliation of sales and accounts receivable.
- Coordinate with bookkeeping and accounting to reconcile monthly accounts receivable and revenue numbers
- Identify and escalate to CRO any past due accounts receivable that may become collection problems.
- Coordinate with the RevOps team on a daily, ongoing basis to reconcile bookings, invoiced revenue, and related discrepancies.Order office supplies for employees.

Role Requirements
· Bachelor's Degree, Financial Accounting, Bookkeeping or similar.
· 2\-3 years of relevant job experience.
· Basic accounting and bookkeeping understanding.
· Must be a team player, customer\-focused, detail\-oriented, open to learning new projects, and have good time management and computer skills.
