Grey Rock Realty is an independent real estate brokerage based in Fort Collins, Colorado. We serve clients throughout Northern Colorado and are building a new kind of brokerage model: one where agents are supported by a centralized, done\-for\-you marketing platform.
Most real estate agents know they should market consistently. They know they should post on social media, email their database, stay visible to past clients, and remain top\-of\-mind with their sphere of influence. The challenge is that many agents struggle to execute these activities consistently while also serving clients and managing transactions.
Our goal is to solve that problem.
We are hiring a Marketing Operations Manager to help build, manage, and improve the marketing systems that keep our agents highly visible to their past clients, prospects, and referral networks.
This role has the opportunity to grow into a broader marketing leadership position as the brokerage scales.
Position Overview
This role is responsible for building and operating the marketing engine for our brokerage and agents.
The primary objective is simple
Keep our real estate agents consistently top\-of\-mind with the people in their contact databases.
This person will help create, organize, publish, and manage social media content, email newsletters, retargeting campaigns, direct mail campaigns, agent branding assets, and agent recruiting marketing.
This is a hands\-on marketing operations role. The right candidate should be highly organized, comfortable with digital marketing tools, detail\-oriented, and excited about building repeatable systems.
We are not looking for someone who only wants to create strategy. We are looking for someone who can turn strategy into execution.
Key Responsibilities
1\. Agent Social Media Content System
Build and manage a library of social media content for our agents.
There are content platforms that provide real estate agents with social media templates where agents can add lifestyle photos, make small edits to the copy, and create content ready for posting. The problem is that many agents struggle to use these tools consistently and do not know how to pair content with database marketing and retargeting.
We want to help agents execute consistently.
Responsibilities include
- Organizing evergreen real estate, homeowner, market, and local lifestyle content
- Adapting content from internal ideas and approved third\-party content services
- Customizing posts with agent branding and lifestyle photography
- Maintaining brand consistency across all agent content
- Scheduling and publishing posts across social platforms
- Managing a content calendar for multiple agents
- Reviewing content for accuracy, clarity, tone, and brand alignment
- Helping determine which content should be used in ongoing retargeting campaigns
Our intention is not for this role to manually design endless Canva templates forever. In the beginning, some manual production will be necessary. Over time, we intend to build software and automation that can populate agent photos and branding into content templates more efficiently. This role will help direct, test, and manage that system.
2\. Retargeting and Paid Social Campaigns
Help agents stay visible to their sphere of influence through paid social campaigns.
Responsibilities include
- Helping agents prepare and upload contact databases
- Creating and managing Meta custom audiences
- Running social retargeting campaigns for agent databases
- Rotating evergreen content through retargeting campaigns
- Monitoring ad delivery, frequency, engagement, and performance
- Helping improve creative and campaign structure over time
The goal of these campaigns is not to make agents “go viral.” The goal is to keep agents consistently visible to the people who already know, like, and trust them.
3\. Email and Direct Mail Newsletter
Create and manage a monthly branded newsletter for agents.
Newsletter sections may include
- Northern Colorado market update
- Quick commentary on current buyer/seller conditions
- Local events
- Local news
- Restaurant, trail, or community spotlight
- Agent recent sales
- Contractor referral reminder
- Calls to action for referrals, valuation requests, or client conversations
Responsibilities include
- Writing or editing newsletter content
- Formatting email campaigns
- Coordinating direct mail versions when applicable
- Segmenting agent databases
- Managing email lists
- Scheduling campaigns
- Tracking open rates, clicks, and engagement
- Improving the newsletter over time
Our vision is to create a modular newsletter system where market updates, local events, client testimonials, restaurant recommendations, agent sales, and other content blocks can be selected and placed into each agent’s newsletter template. Some content may be AI\-assisted, but all content must be reviewed, edited, and approved for accuracy and brand consistency.
4\. Agent Branding and Asset Management
Manage the marketing assets needed to promote each agent professionally.
Responsibilities include
- Organizing agent branding photography
- Maintaining agent photo libraries
- Creating reusable templates for each agent
- Managing brand standards across digital and print assets
- Coordinating future photo refreshes as needed
5\. Agent Recruiting Marketing
Once the agent marketing system is functioning, help promote the brokerage to prospective agents.
Responsibilities include
- Creating marketing materials that explain the brokerage’s agent marketing platform
- Supporting private recruiting events
- Creating email campaigns for prospective agents
- Creating social content aimed at recruiting agents
- Helping leadership communicate why Grey Rock Realty is different from traditional brokerages
7\. Marketing Systems and Automation
Work with leadership and outside technical resources to improve and automate the marketing system.
Responsibilities include
- Documenting marketing workflows
- Identifying repetitive tasks that should be automated
- Testing software and automation tools
- Helping guide development of custom tools
- Ensuring automated outputs remain high\-quality and on\-brand
- Managing marketing software accounts and vendor relationships
We are actively developing software and automation tools to reduce repetitive production work. This role will help test, manage, and improve those workflows, but the core responsibility is marketing execution and operations.
Additional Projects May Include
Depending on capacity and company priorities, this role may also help with:
- Client gift and branded merchandise programs
- Vendor sourcing
- Closing gift systems
- Simple event marketing
- Agent training materials
- Brokerage marketing campaigns
First 6–12 Month Priorities
In the first year, this person will help
- Build and organize the initial agent marketing content library
- Launch marketing campaigns for a pilot group of agents
- Help set up retargeting audiences and database marketing workflows
- Create the first version of the monthly email/direct mail newsletter
- Document repeatable marketing processes
- Work with leadership and technical resources to improve automation
- Help refine the marketing platform before scaling to additional agents
Tools and Platforms
Experience with some of the following is preferred
- Canva
- Meta Ads Manager
- Instagram / Facebook business tools
- Email marketing platforms
- CRM systems
- Social media scheduling tools
- Google Workspace
- Zapier, Make, or similar automation tools
- Real estate marketing platforms such as REchat, Coffee \& Contracts, BAMx, Follow Up Boss, or similar tools
- Basic AI tools for content production and workflow automation
Direct experience with every tool is not required, but the right candidate must be comfortable learning new marketing technology.

Required Qualifications
- 3\+ years of marketing, marketing operations, social media, digital advertising, communications, or related experience
- Experience managing marketing campaigns from concept through execution
- Strong writing and editing ability
- Experience with social media content creation and scheduling
- Comfort with Canva or similar design tools
- Strong project management skills
- Ability to work independently and manage deadlines
Preferred Qualifications
- Experience in local business marketing
- Experience with Meta Ads Manager and custom audiences
- Experience with email newsletters and database marketing
- Experience managing marketing automation tools
- Experience coordinating events
- Experience working with salespeople, real estate agents, or independent contractors
- Basic understanding of CRM systems
