Marketing Operations Coordinator

About This Role

The Marketing Operations Coordinator is a full\-time, on\-site position responsible for keeping the Marketing and Sample Departments organized, accurate, and on schedule. This hands\-on role provides the operational support needed to keep day\-to\-day work moving efficiently.

Sample \& Display Operations

• Manage sample and display transfers, including paperwork, system updates, labeling, shipping, and final verification.
• Monitor inventory and coordinate replenishment, counts, packaging, staging, and discrepancy resolution.

Marketing Operations

• Track projects, deadlines, approvals, and follow\-ups.
• Coordinate promotional materials, branch shipments, swag, vendors, and event logistics.
• Maintain organized files, procedures, purchase records, receipts, and invoice documentation.
• Provide administrative and operational support to the Marketing and Sample Departments.

AI \& Process Improvement

• Use ChatGPT, Claude, and other AI platforms to organize information, draft communications, create procedures, summarize information, and improve workflows.
• Identify opportunities to simplify or automate repetitive processes and verify AI\-generated work for accuracy.

Qualifications

• Exceptional organization and meticulous attention to detail.
• Demonstrated experience using ChatGPT and Claude in a professional setting.
• Strong follow\-through and ability to manage multiple priorities.
• Proficient with Outlook, Teams, Word, and Excel; comfortable learning new systems.
• Clear communicator with sound judgment and willingness to ask questions.
• Ability to work independently and adapt to changing priorities.
• Preferred: 2\+ years of experience in operations, project coordination, administrative support, inventory, fulfillment, or marketing support.

Physical \& Employment Requirements

• Ability to lift up to 20 lbs. and assist with packaging, inventory, and shipments.
• Ability to pass required background screening and drug testing.
