Job Description
Local POS Depot is hiring a Sales Operations Coordinator / Merchant Support Specialist to support our growing sales and merchant services team in Coral Springs, Florida.
We are looking for a highly organized, professional, energetic, and customer\-focused individual with excellent communication, follow\-up, CRM management, scheduling, sales support, and administrative skills.
In this role, you will work closely with our Sales Head, sales representatives, merchants, payment processors, POS vendors, underwriting teams, and installation technicians.
You will help manage the entire merchant journey—from a new sales lead entering our CRM through merchant application, underwriting, POS equipment delivery, installation, onboarding, and ongoing customer support.

Key Responsibilities
- Lead \& CRM Management: Enter new sales leads, update customer contact information, maintain CRM pipeline stages, create follow\-up reminders, update notes, and prepare priority lead lists.
- Sales \& Merchant Follow\-Up: Follow up with prospects and existing merchants by phone, email, and other approved communication channels.
- Appointment Scheduling: Schedule sales calls, merchant meetings, POS demonstrations, follow\-ups, partner meetings, and installation appointments.
- Calendar Management: Assist with managing the Sales Head's calendar, appointments, reminders, meetings, and scheduling conflicts.
- Merchant Application Support: Collect merchant documentation, review applications for missing information, organize files, and prepare applications for submission.
- Underwriting Coordination: Follow up with payment processors and underwriting teams regarding pending merchant applications, additional document requests, approvals, and declines.
- POS Equipment Coordination: Track POS terminals, equipment orders, shipping, delivery, device assignments, replacements, and approved returns.
- Installation Coordination: Coordinate merchants and technicians, confirm installation appointments, prepare installation information, verify completion, and schedule post\-installation follow\-ups.
- Payment Processor \& Vendor Coordination: Communicate with POS providers, payment processors, vendors, and business partners regarding account status, equipment, shipping, support, training, and marketing materials.
- Sales Reporting: Prepare daily and weekly reports covering sales leads, calls, appointments, applications, approvals, installations, pending deals, lost opportunities, and next actions.
- Email \& Administrative Support: Draft professional emails, organize correspondence, maintain files and folders, prepare meeting notes, create task lists, and identify urgent messages.
- Proposal Preparation: Assist with quotations, merchant proposals, comparison sheets, sales presentations, brochures, POS equipment information, and other customer\-facing documents.
- Existing Customer Follow\-Up: Contact existing merchants to check satisfaction, identify support needs, and discuss additional POS equipment, locations, payment solutions, or business services.
- Customer Service Support: Receive routine merchant questions and concerns, document issues, route cases to the appropriate support team, processor, or vendor, and track resolution.
- Sales Team Coordination: Collect updates from sales representatives, maintain activity reports, remind team members about pending documentation, and coordinate training or follow\-ups.
- Task \& Deadline Management: Maintain a master pending\-action tracker to ensure that sales leads, merchant applications, underwriting requests, installations, customer issues, and important deadlines are completed on time.

Preferred Experience
Previous experience in any of the following areas is highly preferred:

Experience working with Clover, Square, Toast, NRS, Lightspeed, TouchBistro, SumUp, payment processors, merchant accounts, or POS systems is a plus but not required.
