Business Operations Manager \- Part Time

Location: Newark, NJ (HAX Headquarters) \| Reports to: CEO

The Business Operations Manager at Lura Health is a crucial position, essential for keeping everything running smoothly within our fast\-paced startup environment. This role requires a highly proactive individual who can cross\-collaborate effectively across all functional areas and operate successfully with minimal direction at times.

Lura Health is a fast\-growing, VC and NSF\-backed early\-stage medical device company developing a non\-invasive remote patient monitoring device. The primary technology is a highly miniaturized sensor that is worn in the mouth, continually records analytes in saliva related to chronic disease, and automatically transmits data to a patient’s smartphone via Bluetooth Low Energy. The approach has the potential for less invasive and more user\-friendly health management.

What You Will Do

Executive \& Operational Support

  • Provide operational and administrative support to the CEO and leadership team
  • Coordinate scheduling, logistics, and internal follow\-ups for executive initiatives
  • Conduct research and gather information to support leadership decision\-making
  • Serve as a central point of contact for internal operational questions and requests

Financial Operations \& Vendor Management

  • Manage vendor onboarding and maintain vendor records
  • Process invoices, bills, and payment requests
  • Coordinate with accounting on month\-end close activities, including categorizing purchases to the appropriate chart of accounts
  • Track and manage operational expenses and recurring payments
  • Maintain records related to financial operations and vendor agreements

Corporate Administration \& Compliance

  • Maintain company registrations and ensure timely filing deadlines
  • Track and manage corporate compliance requirements
  • Oversee documentation and administrative records related to corporate governance
  • Coordinate with external service providers (legal, accounting, etc.)

Intellectual Property Administration

  • Manage administrative tracking and documentation of the company’s patent portfolio and patent filing deadlines

Software \& Systems Administration

  • Manage company software subscriptions and renewal timelines
  • Maintain operational systems and vendor platforms used across the company
  • Coordinate onboarding of new tools and vendors as needed

Travel \& Logistics Coordination

  • Research travel options and manage related expenses
  • Arrange team travel, including flights, accommodations, and itineraries
  • Coordinate logistics for conferences, events, and company travel

Cross\-Functional Operations Support

  • Assist team members with operational and administrative questions
  • Help implement internal processes to improve organizational efficiency
  • Support ad hoc projects across departments as needed

Must\-Have Experience for Success

  • At least 2 years of experience in an operations role, supporting a CEO, or managing an office environment
  • Experience with building and maintaining company processes
  • Experience working in Notion

Where We Work

This position is based at the HAX US Headquarters in Newark, NJ, a 35,000 sq. ft., $50M facility that fosters collaboration among startups in deep tech, medical, and climate industries. The hub () includes full engineering workshops and wet labs, providing a vibrant environment for healthcare and environmental innovation.

The office is a short walk from Newark Penn Station and Broad Street Station, making it easily accessible from both New Jersey and New York. Commuters from Manhattan can reach Newark in just 20 minutes by train. While this is primarily an in\-office role, occasional work\-from\-home flexibility is available.
