About This Role
PURPOSE
This position is responsible for coordinating the daily workflow, project schedules, quality control, documentation, and performance reporting of the Marketing Department. Under authority delegated by the Vice
President of Marketing, the position provides functional direction for assigned work but does not directly supervise Marketing employees. Responsibilities shall be performed in a friendly, courteous, accurate, and
knowledgeable manner to ensure members’ needs are served and Credit Union objectives are met.
FUNCTIONS
- Coordinate the daily workflow of the Marketing Department through approved projectmanagement and
service\-request systems, including project intake, task creation, assignments, priorities, production schedules, review dates, approvals, and publication deadlines.
- Manage the Marketing servicerequest queue, acknowledge requests, confirm requirements and deadlines, and communicate project status to requestors.
- Maintain a centralized marketing calendar covering campaigns, communications, advertisements, events,
sponsorships, social media, website updates, the Annual Meeting, and other significant Credit Union activities.
- Maintain working knowledge of Credit Union products, services, campaigns, and member communication requirements.
- Provide functional direction to Marketing employees regarding assigned projects, deliverables, corrections, and due dates under authority delegated by the Vice President of Marketing.
- Monitor project progress and escalate missed deadlines, quality concerns, competing priorities, workflow bottlenecks, or capacity limitations to the Vice President of Marketing.
- Conduct firstlevel quality review of memberfacing and publicfacing materials for accuracy, grammar, spelling, formatting, brand consistency, disclosures, and completeness.
- Coordinate businessowner verification, compliance review, management approval, and final publication authorization.
- Ensure final materials, approvals, source files, publication links, campaign documentation, and performance results are retained within approved Credit Union systems.
- Coordinate the development and execution of campaigns across email, website, social media, digital advertising, print, branch, and other communication channels.
- Coordinate the monitoring of social media channels through approved monitoring systems and ensure
comments, feedback, and potential reputation concerns are assigned, addressed, documented, or escalated appropriately.
- Coordinate Marketing responsibilities for events, sponsorships, community activities, the Annual Meeting, media outreach, and public relations.
- Manage routine communications and project activities with approved agencies, media partners, printers, vendors, and community partners.
- Maintain organized libraries of approved templates, logos, photographs, collateral, campaign files, and other
marketing assets.
MARKETING OPERATIONS LEAD
- Coordinate the timely development, updating, ordering, inventory, distribution, replenishment, and
availability of promotional items, branded merchandise, and marketing collateral across all Community
Offices.
- Maintain and coordinate the use of approved marketing analytics and reporting systems. Identify and
escalate data\-quality or system\-configuration concerns and reconcile campaign information to applicable source reports when necessary.
- Track campaign objectives, costs, run dates, asset distribution, reach, engagement, responses, conversions, loan or account production, return on investment, and other applicable performance measures.
- Prepare campaign reports using approved marketing systems, applicable businessline reports, and documented campaign expenses.
- Provide regular project, workload, budget, and performance updates to the Vice President of Marketing.
- Support the Vice President of Marketing with strategic planning, budgeting, departmental goals, and the development of new processes to improve workflow and reduce operational bottlenecks.
- Perform other duties as assigned.
AUTHORITY
The incumbent is authorized to coordinate daily Marketing Department workflow, communicate assignments, establish project milestones, request corrections, and monitor completion of approved work under authority
delegated by the Vice President of Marketing. The position does not have direct supervisory authority. Employee performance management, disciplinary action, leave approval, compensation, hiring, termination, department
strategy, final prioritization, and budget approval remain the responsibility of the Vice President of Marketing.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES
- Strong projectmanagement, organizational, and timemanagement skills.
- Exceptional attention to detail and proficiency in grammar, spelling, proofreading, formatting, and quality control.
- Ability to coordinate peerlevel work and provide clear direction regarding assignments, standards, and deadlines.
- Strong written and verbal communication skills and the ability to work effectively with employees, members, vendors, media, and community partners.
- Sound judgment regarding public relations, brand reputation, member communications, and escalation of potential risks.
- Working knowledge of marketing compliance, campaign management, social media, digital communications, graphic design, and print production.
- Ability to interpret campaign results and communicate performance, budget impact, and opportunities for improvement.
- Ability to manage multiple projects and deadlines while maintaining accuracy and appropriate
Documentation.
PREREQUISITES FOR THIS POSITION
Minimum Education: College degree in marketing, communications, business, public relations, or a related field preferred. Relevant work experience may be considered in lieu of education, with two years of experience
substituted for each year of education.
Minimum Experience: Four years of progressively responsible experience in marketing, communications, project management, event coordination, or marketing operations. Prior experience coordinating projects or serving in a
lead capacity is desired. Credit Union or financial\-services experience is preferred.
Technical Skills: Advanced skills in Microsoft Office Suite, Teams, SharePoint, and OneDrive. Experience with project\-management and service\-request platforms, social media scheduling and monitoring tools, email
marketing systems, website content\-management systems, digital analytics, and Adobe Creative Suite is preferred.
MARKETING OPERATIONS LEAD
Working Conditions: Continuous alertness, precision, and concentration are required to ensure accuracy. This position requires regular in\-person availability and may involve extended or irregular hours and local or out\-of
state travel. A valid driver's license and clean driving record are required. Occasional lifting of up to 50 pounds may be necessary. The employee must be able to drive safely in ice, hazardous road conditions, and nighttime
conditions.
