This is a remote position, and we are currently seeking candidates located only in Idaho, Michigan, California, or Florida.

The Marketing Operations Specialist supports Client Marketing Managers by owning the execution and coordination of client marketing initiatives from concept through launch. This role helps reduce the operational workload of Client Marketing Managers by managing campaign planning, scheduling, coordination, and execution across multiple client accounts. The person in this role serves as a central point of coordination to keep timelines on track, communication clear, and deliverables completed at a high standard, while using HubSpot as the central system for campaign tracking, client communication, task management, and pipeline visibility.

Core Responsibilities

Campaign Planning \& Execution

  • Own backend execution of marketing campaigns across assigned client accounts from planning through launch
  • Help develop campaign strategies, including campaign objectives, offers, channel selection, and launch timing
  • Build and manage client content calendars
  • Coordinate campaign development from ideation through final launch
  • Partner with design resources to develop campaign assets
  • Prepare completed campaigns for Client Marketing Manager review and approval
  • Schedule and deploy campaigns through email, SMS, CRM, and other relevant platforms
  • Monitor timelines and keep projects moving to meet deadlines
  • Maintain clear communication with assigned Client Marketing Managers throughout execution
  • Track campaign progress, approvals, and completion stages in HubSpot

Graphic Design Support

  • Create and assist with marketing assets using Canva and other design tools
  • Design email graphics, social media content, and promotional materials
  • Support the internal design team during heavier workload periods
  • Ensure design output aligns with brand standards and campaign goals
  • Document design assets, revisions, and approvals in HubSpot

Community Event Planning \& Execution

  • Support planning and coordination of community engagement initiatives such as in person events, fundraisers, online giveaways, and promotional campaigns
  • Manage event logistics and execution details
  • Assist with promotional strategies and supporting materials for each event
  • Coordinate with clients on approvals, expectations, and timelines
  • Help order and organize branded materials such as swag and signage
  • Track event related activity and progress in HubSpot

General Marketing Support \& Special Projects

  • Support higher priority marketing initiatives and special projects
  • Assist with time sensitive requests from Client Marketing Managers
  • Contribute to process improvements and team efficiency
  • Support cross functional needs as they arise
  • Maintain accurate documentation, communication, and task tracking in HubSpot

HubSpot Ownership \& Operational Integration

  • Use HubSpot as the central system of record for campaign, client, and task related activity
  • Maintain real time updates across contacts, deals, activities, and workflows
  • Keep campaign stages, approvals, and execution progress clearly documented
  • Support pipeline visibility for onboarding and client lifecycle management
  • Identify opportunities to improve HubSpot organization, structure, and team usage

Key Skills \& Qualifications

  • Strong organizational and project management skills
  • Ability to manage multiple campaigns and deadlines at once
  • Strong written and verbal communication skills
  • Experience with marketing platforms such as email, SMS, and CRM tools
  • Proficiency in Canva and basic graphic design principles
  • Strong working knowledge of HubSpot or a similar CRM platform
  • High attention to detail and strong follow through
  • Ability to collaborate effectively while taking ownership of assigned work

Required Experience

  • Experience planning, building, scheduling, and launching marketing campaigns across email, SMS, and CRM platforms
  • Hands on experience using HubSpot to manage contacts, deals, pipelines, workflows, and activity tracking
  • Strong Canva skills and ability to create clean, on brand marketing materials
  • Ability to manage multiple clients, campaigns, and deadlines in a fast paced environment
  • Strong cross functional collaboration skills
  • Ability to shift priorities, troubleshoot issues, and adapt quickly
  • Solid understanding of marketing fundamentals, including promotions, offers, customer behavior, and campaign execution

Workload Allocation

  • Campaign Planning \& Execution: 60%
  • Graphic Design Support: 20%
  • Community Events: 10%
  • General Marketing Support: 10%
