Schedule: Approximately 15 hours/week (3 hours/day, Monday through Friday)

Position Overview
The Marketing Mailroom \& Operations Coordinator is responsible for ensuring our marketing operations run smoothly from our Hoboken workspace. This person owns the preparation and shipment of influencer mailers, VIP gifting, product samples, and other marketing packages while maintaining inventory, organizing the marketing mailroom, and supporting administrative marketing operations. They will also assist with D2C returns processing and related administrative tasks. When shipping priorities are complete, this role provides operational support to the influencer marketing team through research, database management, social trend monitoring, and CreatorIQ administration.
Key Responsibilities
Influencer \& Marketing Packouts (Primary Responsibility)
- Assemble and ship influencer mailers, VIP gifting, PR packages, and custom marketing shipments.
- Ensure every package is beautifully presented with consistent branding, tissue paper, stickers, handwritten notes, and product presentation.
- Prepare urgent same\-day shipments and coordinate local messenger services when needed.
- Maintain quality control standards for every outgoing package.
- Handwrite personalized notes with exceptional attention to detail.
- Assist with custom packaging requests from internal teams.
Inventory \& Mailroom Operations
- Receive incoming product shipments and marketing materials.
- Maintain accurate inventory counts for marketing and PR products.
- Organize the mailroom and storage areas to ensure efficient operations.
- Restock packaging materials and notify the team when supplies need replenishment.
- Help prepare inventory for upcoming influencer campaigns and launches.
Influencer Marketing Administration
Support the Influencer Marketing Manager by
- Maintaining CreatorIQ (or Tribe Dynamics) campaign organization.
- Tagging creator content by:
- Campaign
- Product featured
- Organic vs. Paid
- Keeping creator databases accurate and organized.
- Updating influencer tracking spreadsheets.
- Organizing campaign assets and documentation.
Research \& Marketing Support
During downtime between shipping responsibilities:
- Research emerging Instagram and TikTok trends.
- Build and maintain lists of prospective influencers and creators for future seeding campaigns.
- Identify creators aligned with the Soulstice brand.
- Assist with influencer database updates and organization.
- Support miscellaneous marketing administrative projects as needed.
E\-commerce Operations Support
- Receive and process direct\-to\-consumer (D2C) product returns.
- Log returned merchandise accurately within internal tracking systems.
- Document return reasons and product condition to support customer service and quality teams.
- Organize returned inventory and coordinate with Operations on product disposition.
- Assist with reporting and maintaining accurate records of D2C returns and exchanges.
- Flag recurring product or fulfillment issues observed through customer returns.
Additional Administrative Support
- Coordinate courier and messenger pickups for urgent local deliveries.
- Maintain shipping supplies and packaging inventory.
- Prepare shipping labels and organize outbound logistics.
- Assist with miscellaneous marketing and administrative projects as business needs evolve.
Qualifications
- 1 to 3 years of experience in marketing operations, influencer marketing, PR, administrative support, retail operations, or a similar role.
- Passion for beauty, wellness, fashion, or consumer brands.
- Exceptionally organized with strong attention to detail.
- Beautiful, legible handwriting.
- Comfortable performing hands\-on operational tasks.
- Able to prioritize multiple requests in a fast\-paced startup environment.
- Strong written communication skills.
- Familiarity with Google Workspace (Docs, Sheets, Drive).
- Experience with CreatorIQ, Tribe Dynamics, Airtable, or influencer platforms is a plus.
- Previous beauty brand or influencer marketing experience is preferred but not required.
