The Head Spa Sanctuary is one of the busiest luxury wellness spas in the country, offering Japanese Head Spa, Massage Therapy, Facials, Zero Gravity Pedicures, Herbal Wellness Experiences, and elevated guest care in Pineville, North Carolina.
As our company continues to grow, we are seeking a highly analytical, resourceful, and detail\-oriented Revenue Operations \& Financial Reporting Coordinator to help support the financial visibility and operational reporting side of the business.
This is not a traditional bookkeeping\-only role. We are looking for someone who genuinely enjoys working with spreadsheets, data, reconciliations, reporting systems, operational analytics, and process improvement.
This role will work closely with ownership, management, payroll, and accounting partners to help organize, reconcile, analyze, and improve reporting across multiple systems including Mangomint, QuickBooks, ADP, Google Sheets/Excel, and internal operational reporting.
This position is ideal for someone who enjoys identifying trends, solving problems, organizing complex information, and helping leadership make informed decisions through accurate reporting and analytics.
Key Responsibilities
- Pull, organize, and maintain weekly and monthly operational and financial reports
- Build and maintain spreadsheets, dashboards, and reporting systems
- Track and reconcile membership liabilities, account credits, package balances, and gift card balances
- Analyze membership growth, redemption trends, and outstanding liabilities over time
- Track service sales and quantity breakdowns by department, category, and provider
- Assist with operational reporting for Head Spa, Massage, Facials, Retail, Memberships, Packages, and other departments
- Analyze retail performance, inventory trends, and purchase order allocations between backbar and retail
- Track cancellations, same\-day cancellation costs, customer recovery credits, discounts, and comps
- Support payroll allocation reporting across departments and hybrid team roles
- Assist with reporting related to commissions, labor costs, payroll percentages, utilization, and rebooking rates
- Help organize and track marketing spend, influencer campaigns, donation tracking, and ROI reporting
- Identify discrepancies, inconsistencies, or reporting gaps and help improve internal systems
- Work alongside accounting partners to support accurate Profit \& Loss statements and Balance Sheets
- Assist with month\-end reconciliation and reporting processes
- Help ownership improve visibility into business performance, profitability, and operational trends
Ideal Candidate
- Highly analytical and naturally detail\-oriented
- Advanced Excel and/or Google Sheets skills required
- Comfortable working with large amounts of data and multiple systems
- Strong problem\-solving and investigative thinking skills
- Able to organize complex information into understandable reporting
- Resourceful and proactive with the ability to self\-teach and research solutions
- Comfortable communicating with software support teams, accountants, payroll providers, and management
- Strong understanding of reconciliations, operational reporting, or bookkeeping support preferred
- QuickBooks experience preferred
- Experience with Mangomint, POS systems, ADP, or service\-based businesses is a plus
- Hospitality, wellness, salon/spa, medical office, or multi\-department operations experience is a plus
- Ability to maintain confidentiality and professionalism
