WHAT WOULD YOU DO AS A MANAGER OF BROKER SALES OPERATIONS

The Broker Manager \- Sales Operations at VillageCare is vital in upholding the operational integrity and efficiency of our broker sales infrastructure. This role encompasses comprehensive responsibilities, including broker onboarding, system configuration, enrollment tracking, payment alignment, and overseeing operational platforms with external vendors like Convey and Connecture. Acting as a crucial liaison between Broker Sales, Finance, Compliance, and IT, the Broker Manager ensures that brokers are seamlessly integrated into all systems, facilitating their swift transition to a Ready\-to\-Sell status. By effectively identifying and resolving system errors that could affect broker readiness, enrollment processing, and compensation accuracy, this position strengthens operational cohesion.

Furthermore, the Broker Manager plays a key role in optimizing processes to reduce enrollment and payment errors, fostering broker confidence, and supporting scalable growth through structured oversight and accountability. WHAT YOU NEED TO BE SUCCESSFUL

To thrive as the Broker Manager \- Sales Operations at VillageCare, candidates must possess a robust set of skills, including expertise in operational platforms such as Convey and Salesforce. A successful candidate will demonstrate a deep understanding of broker system setup and readiness\-to\-sell oversight, ensuring brokers are accurately credentialed and configured for both enrollment and compensation processing. Strong analytical and problem\-solving abilities are crucial for conducting systematic reviews, identifying potential errors, and implementing corrective actions.

Candidates should have at least five years of experience in broker or sales operations, with a strong focus on healthcare insurance operations. Knowledge of broker compensation structures and the ability to manage enrollment workflows effectively will be essential. Additionally, the role requires excellent organizational skills to coordinate with various internal teams and external vendors, ensuring seamless operational alignment and mitigating systemic risks.

Familiarity with Medicare Advantage and related healthcare products is preferred, underscoring the need for a detail\-oriented and proactive approach to operational management.

Knowledge and skills required for the position are:

  • Broker System Setup \& Readiness\-to\-Sell Oversight
  • Oversee broker setup and configuration within operational platforms including Convey and Salesforce
  • Ensure brokers are accurately assigned, credentialed and properly structured for compensation and enrollment processing
  • Monitor broker readiness\-to\-sell status and resolve setup issues impacting activation timelines
  • Ensure all broker contracts, licensing, certifications and compliance requirements are properly completed and documented
  • Work directly with internal teams and external vendors to resolve delays
  • Convey Platform Oversight \& System Integrity
  • Serve as primary operational owner of the Convey platform to ensure broker readiness compliance and compensation alignment
  • Conduct structured daily system reviews to identify and resolve system errors
  • Audit broker records to ensure accuracy in payment configuration and hierarchy structure
  • Escalate system defects and coordinate resolution with vendors, IT and leadership
  • Maintain operational accountability during the duration of vendor contracts and system transitions
  • Implement structured workflows and assign clear ownership to operational staff
  • Enrollment Processing \& Connecture Application Oversight
  • Oversee submission tracking and reconciliation of broker\-submitted applications through Connecture and related enrollment systems
  • Ensure applications are processed efficiently from submission to member ID assignment
  • Monitor MAP enrollment workflows and identify opportunities to improve turnaround time and operational efficiency
  • Assist operational staff responsible for application tracking and enrollment support
  • Identify enrollment bottlenecks and implement corrective action processes
  • Ensure accurate documentation and status tracking of all submitted enrollments
  • Broker Payment Oversight \& Compensation Alignment
  • Ensure brokers are properly configured within compensation and payment systems to prevent payment delays or errors
  • Review compensation data and enrollment records to ensure payment accuracy
  • Participate in broker payment reconciliation meetings or provide structured reporting oversight
  • Investigate and resolve payment discrepancies including hierarchy errors and enrollment misalignment
  • Collaborate with Finance
  • Compliance and leadership to maintain compensation accuracy
  • Maintain working knowledge of broker compensation structures and system dependencies
  • Operational Process Management \& Accountability
  • Responsible for operational workflows and accountability standards across broker operations
  • Implement daily, weekly and monthly operational review processes
  • Identify operational gaps and implement corrective process improvements
  • Ensure operational alignment across Salesforce
  • Convey Connecture and payment systems
  • Reduce operational errors and strengthen system reliability
  • Broker Operational Support \& Issue Resolution
  • Serve as escalation point for broker operational issues related to: Readiness\-to\-sell delays, Enrollment tracking, Member ID retrieval, Payment discrepancies
  • System access issues
  • Ensure timely resolution of broker operational concerns
  • Support development and implementation of broker\-facing tracking tools and platforms
  • Cross\-Functional Collaboration
  • Coordinate closely with: Broker Sales Leadership, Finance and Commissions Team, Compliance Department, Salesforce, IT and Systems Teams
  • External platform vendors (Convey Connecture)
  • Ensure operational alignment between systems, teams and business objectives
  • Provide operational reporting and updates to leadership
  • Operational Risk Management \& Continuous Improvement
  • Identify systemic operational risks and implement mitigation strategies
  • Monitor recurring operational issues and ensure sustainable resolution
  • Support implementation of broker\-facing platforms and operational tools
  • Transition department from reactive issue resolution to proactive operational management
  • Strengthen operational infrastructure to support scalable broker growth

Experience

  • Bachelor's degree preferred (Business Healthcare Administration or related field)
  • 5\+ years of experience in broker operations, sales operations or healthcare insurance operations
  • Strong experience working with broker operational systems including Convey Connecture and Salesforce
  • Experience supporting broker onboarding readiness\-to\-sell processes and enrollment operations
  • Strong understanding of broker compensation structures and payment workflows
  • Experience identifying and resolving system and operational issues
  • Knowledge of Medicare Advantage, MAP, MLTC and related healthcare products preferred
  • Strong organizational, analytical and operational problem\-solving skills
  • Ability to manage multiple systems workflows and operational priorities
