Job Summary The Opportunity Coordinator is responsible for ensuring the accurate capture, tracking, and progression of sales opportunities within the CRM system. This role drives accountability across teams by enforcing process adherence: all sales activities are documented, opportunities receive timely follow\-up, and Customer Service Representatives (CSRs) are prompted and supported to proactively secure and convert orders. The position plays a critical role in maximizing win rates, and improving overall sales efficiency.
Key Responsibilities ∙CRM Management \& Data Integrity ∙Ensure the Opportunity Cycle structure has accurate stages, values, probabilities, next steps, and forecasted close dates. ∙Monitor and ensure the accurate and timely recording of all sales team activities, customer interactions, engineering projects, quotes, and opportunities in the CRM system. ∙Perform regular audits of opportunity records to identify missing or incomplete data; follow up directly with sales reps to ensure compliance. ∙
Opportunity Follow\-Up \& Progression ∙Serve as the central point of contact for opportunity status updates across sales, engineering, purchasing, and CSRs. ∙Track open opportunities and send proactive reminders/escalations to sales reps for required follow\-ups, proposal submissions, or customer engagements. ∙Coordinate cross\-functional touchpoints (e.g., scheduling engineering reviews, quote approvals, or technical clarifications) to prevent delays. ∙
Proactive Order Capture \& CSR Support ∙Partner closely with CSRs to identify inbound inquiries, repeat business, or upsell opportunities and convert them into formal sales opportunities in the CRM. ∙Provide CSRs with prompts, templates, and coaching to proactively secure orders (e.g., following up on quotes, checking for pending approvals, or identifying add\-on needs). ∙Monitor CSR\-handled accounts for untapped opportunities and escalate to sales when appropriate to maximize order capture. ∙
Reporting \& Process Improvement ∙Monitor CRM compliance, opportunity aging, follow\-up completion rates, and order capture metrics. ∙Identify bottlenecks or recurring issues and recommend process improvements to leadership. ∙Facilitate cross\-functional alignment meetings (Sales–Engineering–Purchasing–CSR) to resolve blockers on high\-value opportunities and ensure all teams are working from the same source of truth in the CRM. ∙Support sales forecasting accuracy by validating opportunity stages, close dates, and probabilities based on actual customer engagement and documented progress.
Qualifications \& Skills ∙Required ∙2\+ years of experience in sales support, sales operations, CRM administration, or coordination in a B2B, manufacturing, industrial, or technical sales environment. ∙Strong proficiency with CRM. ∙Excellent organizational and follow\-up skills with keen attention to detail. ∙Strong communication and interpersonal skills to work across sales, engineering, purchasing, and customer service teams. ∙Proactive mindset with the ability to identify issues early and drive accountability without direct authority. ∙
Preferred ∙Experience in environments with engineered products, technical approvals, or specification\-driven sales. ∙Familiarity with purchasing processes, supplier sourcing, or quote\-to\-order workflows. ∙Basic understanding of sales metrics, forecasting, and pipeline management. ∙Proficiency in Microsoft Office (especially Excel) for reporting and data analysis. ∙

Pay: $21\.00 \- $26\.00 per hour
